About this Role
An Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to our CEO.
Key Responsibilities
  • Provide executive leadership with:
  • Extensive and continuous calendar management
  • Domestic and international travel management
  • Expense management
  • Detailed meeting plan management and any other executive support
  • Arrange on and off-site meetings & events for departmental leadership with supporting materials as needed
  • Assist executive leadership in tracking key operational metrics by organizing and compiling data, researching facts and coordinating information retrieval
  • Independently perform special projects that require a combined knowledge of administrative needs and technical operations
  • Maintain confidentiality in all aspects of team and company information
  • Perform general office/facilities management duties to include:
  • Managing the inventory of office supplies, ordering additional supplies as needed and ensuring that costs are appropriately managed
  • Planning space allocations, layouts, and floor moves as required; arranging for and supervising building maintenance; and
  • Maintaining office facilities and equipment by assisting with procurement and routine maintenance and upkeep
  • Regularly check the mail and distribute accordingly
Qualifications
  • 3+ years of experience supporting administrative functions at the executive level
  • Ability to thrive in a fast-paced environment and operate with a high sense of urgency
  • Be a results-driven achiever with excellent organizational skills
  • Must be an exceptional listener and communicator who effectively conveys information verbally and in writing
  • Have stamina, drive and perseverance to handle pressure well
  • Dependability, dedication, resourcefulness and independence
  • Observes strict confidentiality in all aspects of services provided
  • Proficient in MS Office Suite
